POLICIES & PROCEDURES FOR PERFORMERS: (5 minute read) Please review this document in advance of your gig.

Our goal is to create a great experience for both the performer/musician and our clients. The foundation to our success has been our complete and total commitment to providing exceptional customer service, willingness to be flexible to our clients & vendors, and a high standard of musical performances. Thank you for being a part of our team!

1. Dress code

Please keep the formality of wedding attire in mind. This is our standard dress…

  • Women: Long black dress, gown, or long skirt + black formal top (or equivalent) & closed toed black dress shoes.

  • Men: All black suit, black shirt, black tie, and black shoes.

Dress will be specified in the final confirmation email prior to the event and may vary from our standard dress (above). If you have any questions regarding attire please contact Ivy directly.

2. Standards of Conduct

  • Guests of performers are strictly prohibited.

  • Drinking alcohol on the job is strictly prohibited.

  • Smoking is prohibited inside of any building, within 25 feet of any doorway, or in the presence of Event guests.

  • Do not ask for food. Eating Client’s food is not allowed (unless client/hotel provides it voluntarily, in break area).

  • Snack breaks are to be taken in the break area(not in sight of guests).

  • Please refrain from off-color language or potentially offensive jokes.

  • Maintain a professional manner during all interactions with clients, vendors and guests.

  • Keep music continuous during the set.

3. What to expect (day of the gig)

  • Arrival Time: 45 minutes prior to the performance start time.

  • Sound Check: Run-through the ceremony setlist (20-40 minutes prior to the scheduled start time).

  • If you need assistance upon arrival, call or text your Day-of Lead.

  • The Day-of Lead is the voice for the group. This limits any confusion.

  • Please refrain from answering questions from the venue or coordinator and direct them to your Day-of Lead.

  • Breaks will take place at the transitions of the event timeline. For gigs that are 2 hours or less, breaks are a maximum of 10 minutes.

4. Music & Equipment

  • iPad, music stand, and foot pedal will be provided.

  • There may be instances where musicians are requested to bring their own equipment which could include: iPad, stand, foot pedal, instrument pickup, amplification, and extension cord(s), etc.

  • If using your own personal iPad, we will provide you with music which could include access to our private online library. You are not allowed to use Bellarosa SQ’s music for other gigs without prior permission.

5. Provisions provided by the vendor/clients

  • Umbrella(s) or equivalent shade.

  • Heat lamps if the temperature is below 62 degrees Fahrenheit.

  • Water beverages.

  • If a vendor meal is a part of this Event, it has been negotiated in advance for events that are more than three (3) hours in duration.

6. Payment/Compensation

Payment will be sent out within 1-3 days following the completion of the gig in the form of Venmo, Paypal, or Check.

7. Canceling

Two weeks advance notice is required if needing to book out of the gig. You may be asked to assist with finding a replacement.

8. Communications

All business correspondence should be done via email (ivy@bellarosasq.com) or phone (707.889.2110). Text messaging should only be used in case of emergency.

Duties of the Day-of Lead

1. Prior to the gig

  • Review the day of details (DOD) & coordinator’s timeline.

  • Create set lists on the iPads.

  • Make sure the iPads are fully charged and that the foot pedals are connected.

  • Have your group’s contact information.

2. At the gig

  • Connect with the coordinator & officiant to go over details (cues, location shifts, provisions needed).

  • Set up the equipment.

  • Brief the team on the songs, setlists, and cues.

  • Make sure the team is well taken care of with shade, water, and heat.

  • Be accommodating to the coordinator and venue.

  • Keep music continuous during the set.

  • Dragging equipment over gravel or grass is prohibited at most venues. Please ask Ivy for further details.
